1Introduction & Purpose
This manual is published in terms of Section 51 of the Promotion of Access to Information Act 2 of 2000 (PAIA). PAIA gives effect to the constitutional right of access to information held by private bodies, where such information is required to exercise or protect any rights.
Goeie Hoop Vervoer Spoeddiens (Pty) Ltd ("the Company") is committed to transparency and to facilitating the lawful exercise of access to information rights.
2Guide on How to Use PAIA

4Records That May Be Requested
Subject to the grounds for refusal set out in PAIA, the following categories of records may be requested:
Corporate Records
- Certificate of Incorporation
- Memorandum of Incorporation (MOI)
- Share register
Financial Records
- Annual financial statements (subject to confidentiality)
- Tax registration details
Human Resources
- Employment contracts (subject to privacy)
- Policies and procedures
Customer & Operational Records
- Booking and shipment records pertaining to the requester
- Correspondence relating to the requester
5How to Submit a PAIA Request
To request access to a record, submit a completed PAIA request form (Form C — available from the SAHRC website) to the Information Officer:

A request fee of R140.00 is payable upon submission (as prescribed by regulation). An access fee may also apply depending on the form in which the record is provided.
We will respond to your request within 30 days of receipt.
6Grounds for Refusal
Access to records may be refused on grounds set out in Chapter 4 of PAIA, including but not limited to:
- Protection of third-party personal information
- Commercial confidentiality
- Legal privilege
- Safety of individuals
- Records subject to ongoing legal proceedings
7Purpose of POPIA
The Protection of Personal Information Act 4 of 2013 (POPIA) regulates the processing of personal information by public and private bodies. The Act promotes the right to privacy while balancing other rights such as access to information.
8Personal Information We Process
We process the following categories of personal information:
- Identity information: full name, ID number (where required)
- Contact details: phone number, email address, physical address
- Shipment data: parcel details, collection and delivery addresses
- Financial information: payment reference details
- Technical data: IP address, browser type, website usage data
- Communications: emails, messages, and support requests
9Purpose of Processing
We process personal information for the following lawful purposes:
- Fulfilling courier bookings and delivery contracts
- Customer communication and support
- Invoicing and financial record-keeping
- Legal and regulatory compliance
- Fraud prevention and security
- Improving our services and website

We process personal information in accordance with the eight conditions set out in POPIA:

13Security Measures
We implement appropriate technical and organisational measures to protect personal information against unauthorised access, loss, destruction, or disclosure. These include encrypted data transmission (HTTPS), role-based access controls, and regular security reviews. All staff who process personal information are trained on their data protection obligations.
14Retention and Destruction
Personal information is retained for as long as necessary to fulfil the purpose for which it was collected, or as required by law. Financial and transactional records are retained for a minimum of 5 years in line with South African tax and accounting legislation. Records no longer required are securely destroyed.
